Setting up foyai for your team.

An Attio admin connects foyai to your Attio workspace once. After that, anyone in the workspace signs in with their Attio account, and foyai admins set up branding, templates, and automation for everyone. This guide covers roles, joining, seats, who sees which rooms, and what to do when someone leaves.

1. An Attio admin connects the workspace

The first person to set up foyai needs to be an admin in your Attio workspace, because only Attio admins can approve an app for the whole workspace. Before approving, they see the list of permissions foyai asks for and why. The full list is on the security page.

If someone who isn't an Attio admin tries first, foyai shows them a short message to send to an admin instead.

Once Attio is connected, a foyai admin usually sets up a few things before the rest of the team starts:

  • Branding: your logo, colors, and footer links for every room.
  • Room access default: the access mode new rooms start with, such as a verified email.
  • Templates: the sections, content, and action plan each kind of room starts from.
  • Room automation: which Attio deal stage drafts which template.
  • Slack: connecting your Slack workspace, so sellers can get alerts about their own rooms. This needs a paid plan.
  • Content library: the case studies, decks, and documents rooms draw from.

2. Roles

foyai has three roles. A person's Attio role is separate, and it decides one thing in foyai: Attio admins can pick from every call in the workspace when drafting, while everyone else sees the calls they were on and calls linked to the room's company or deal.

ContributorAdd and organize content in the library, for example a marketing or enablement teammate. Contributors sign in with an emailed link, don't need an Attio account, and don't own rooms.

3. How teammates join

  • Anyone in your Attio workspace can sign in with Attio once the workspace is connected. They join as a seller, and no invite is needed.
  • An invite from the Team page sends a teammate an email with a link to sign in. Invite someone as an admin and they become an admin when they first sign in. You can resend an invite once an hour.
  • Contributors get an emailed link that works for 7 days. After they join, they ask for a new sign-in link whenever they come back.

4. Seats

On Pro, you choose how many seats to pay for at checkout and change the number later in billing. Seats also set the size of your team's AI pool: 30 generations per seat each month, shared by everyone. Platform is priced per workspace, with unlimited seats. Buyers never need a seat or an account. 5. Who sees which rooms

Each room belongs to the person who owns it:

  • A room you create in foyai is yours.
  • A room drafted automatically at a deal stage belongs to the deal's owner in Attio. If the deal owner doesn't use foyai, no room is created.
  • A room drafted from a call recording belongs to the deal's owner, or the meeting host.
  • A room created with Create Foyai Room in Attio belongs to the person who clicked it.

Admins see every room, can filter by owner, and see rooms with no owner under Unassigned. Sellers see their own rooms. Changing a deal's owner in Attio doesn't move its room, and rooms can't be reassigned to someone else yet.

6. Changing someone's role

On the Team page, an admin can make a seller an admin, or an admin a seller. You can't change your own role, and a workspace always keeps at least one admin. The change applies on the person's next click.

7. When someone leaves

foyai doesn't have a remove button on the Team page yet, and removing someone from Attio doesn't sign them out of foyai. Until it does, take these steps:

  1. Ask us to deactivate their account. Email support@foyai.com from an admin's address with their email, and we'll end their access.
  2. Disconnect their call recorder. In Settings → Integrations → Manage transcript sources, an admin can disconnect a teammate's personal connection. Calls already matched to rooms stay.
  3. Look after their rooms. Their rooms stay under their name, and admins can keep editing, publishing, and archiving them.
  4. Check Google Drive files they added. Drive files are shared through the account of whoever added them, so new buyers can't get access to those files until someone re-adds them from their own account.

Slack alerts stop once their Slack account is deactivated.

Questions

Who has to approve foyai in Attio?
An Attio workspace admin, once for the whole workspace. They can remove it at any time from Workspace settings → Apps in Attio.
Do teammates need an invite to join?
No. Once your Attio workspace is connected, anyone in it can sign in with Attio and joins as a seller. An invite from the Team page is optional, and it's how you add someone as an admin from the start.
Can sellers see each other's rooms?
No. Sellers see their own rooms and the Attio deals they own. Admins see every room in the workspace.
What happens to a room when its owner leaves?
It stays live and under their name. Admins can keep editing, publishing, and archiving it. Rooms can't be reassigned to another owner yet.
Do contributors need an Attio account?
No. Contributors sign in with an emailed link and only work in the content library.
