Transcript sources (Beta)

Your sales calls hold the best raw material for a room: what the buyer said they need, who was in the conversation, what was promised. Transcript sources let Foyai pull call transcripts from the recording tools your team already uses, then match each call to the right room and deal automatically.

Attio stays your system of record; transcript sources simply add more calls to what Foyai can draw from when it builds and drafts rooms.

How it works, in plain terms

  1. You connect a recording tool with an API key from that tool's settings.
  2. New calls flow in automatically. When a recording finishes processing, the tool notifies Foyai (with a regular catch-up sync as a safety net).
  3. Foyai matches each call by looking at who was on it:
    • If a participant's email matches a stakeholder in one of your rooms, the call attaches to that room.
    • Otherwise, if participants' email domains match a company you work with, the call attaches at the company level.
    • Calls with only your own team on them are set aside. Internal calls never end up in buyer-facing material.
  4. Matched calls appear wherever you pick calls: when creating a room from a deal, generating a draft, or refreshing a room's content. They sit alongside your Attio call recordings in one list.

Foyai is deliberately cautious here: if a call could belong to more than one room, it's flagged as a suggested match for you to confirm rather than guessed at. A transcript landing in the wrong deal's draft is the one mistake the matcher is designed never to make. You can always see why a call was matched; hover over the match badge for the exact reason (for example, "jane@acme.com is a stakeholder in this room").

Your transcripts stay in your recording tool. Foyai stores only the call's details (title, date, participants) and fetches the transcript text on demand when generating content. Disconnect a source and Foyai can no longer read its transcripts.

The exception is a transcript you upload. There's no recording tool to fetch it from, so Foyai stores the text you uploaded. Delete the upload and Foyai deletes that text.

Connecting a source

You'll need an API key from the recording tool. Each provider's connect window links directly to the right settings page and walks you through it.

  1. Go to Settings → Integrations → Manage transcript sources.
  2. Click Connect on the tool you use.
  3. Follow the link in the window to grab your API key, then paste it in.
  4. Choose who the connection covers (see below).
  5. Click Connect. The card shows your account name and starts importing recent calls.

Fireflies and tl;dv need one extra step: these tools can't be set up to notify Foyai automatically, so after connecting you'll see a webhook URL to copy into the tool's own settings. The connect flow shows exactly where to paste it. Until you do, calls arrive via the regular catch-up sync instead of in real time.

Granola syncs on a schedule: Granola doesn't offer real-time notifications at all, so new Granola calls appear on Foyai's regular catch-up sync (roughly hourly) rather than moments after the meeting. No extra setup is needed. Granola API keys are created in the Granola desktop app (Settings → Connectors → API keys) and require a Granola Business or Enterprise plan.

Whole workspace, or just me?

  • Just me: imports only your own calls. Every seller, admin or not, can set this up for themselves from their own Settings → Integrations → Manage transcript sources, and sees only their own connections there, not a teammate's.
  • Whole workspace: imports calls for the whole team under one connection. Only workspace admins can create these, and only an admin sees the option to.

Once connected, matched calls are visible to the whole team regardless of who connected.

Fireflies, Avoma, Grain, and Granola support both options. Fathom and tl;dv connections are always personal, so each teammate who records with them connects their own account.

Either way, once a call is matched to a room or company, it's visible to teammates working that deal. Matched calls are shared context, just like call recordings in Attio. Calls that aren't matched yet are only visible to Attio admins and to the people who hosted or were on them, and a teammate's personal connection stays private to them.

Uploading a transcript

If your calls are recorded somewhere Foyai can't connect to yet, upload the transcript. You attach it to the Attio company or deal yourself, so it doesn't need a room yet and Foyai doesn't have to guess where it belongs.

  1. Go to Settings → Integrations → Manage transcript sources.
  2. Under Uploaded transcripts, click Upload a transcript.
  3. Paste the transcript, or click Choose a file to pick a .txt or .vtt file (up to 1 MB).
  4. Check the Title, the Date and time of the call, and the Participants. Foyai fills in participants from the speaker names it finds; add emails if you have them.
  5. Under Attach to, search for the deal or company the call belongs to.
  6. Click Upload transcript.

The call then works like any other: it's listed, with an Uploaded tag, wherever you pick calls (new room from a CRM record, Fill room from call recordings, Meeting Notes), and the Attio app's draft action and room automation use it too. Calls sort by the date you set. A call you attach to a deal also shows on the deal's company, the same way Attio call recordings do.

You don't need Settings to upload. Teammates without admin access can use Upload a transcript in a room's Fill room from call recordings picker (it attaches to that room's company and deal) or in New room → From CRM record after picking a record.

Uploads work even when connecting recording tools is turned off for your workspace.

What the transcript should look like

Foyai reads speaker names from lines like these:

Jordan: Hi Priya, thanks for making the time.
Priya Raman: Thanks for having me.
  • Plain text (.txt or pasted): one Name: what they said line per turn. Timestamps and numbering are dropped, and lines without a name continue the previous speaker.
  • WebVTT (.vtt): the caption files Zoom, Google Meet and Microsoft Teams export work as they are, whether speakers are written as Name: text (Zoom) or as voice tags (Teams and Meet).

Consecutive lines from the same person are merged, so buyers who open the transcript in a Meeting Notes block see a clean conversation.

Deleting an upload

In Uploaded transcripts, click the trash icon next to the call, then Delete. In a room's call picker, uploads you added have the same icon. Foyai deletes the stored transcript text and the call disappears from every call picker. Drafts and Meeting Notes blocks already made from it keep their content until you change or remove them.

You can delete transcripts you uploaded; workspace admins can delete any upload.

Uploads follow the same visibility rules as other calls. Once attached, an upload is shared context like any matched call, so teammates working that company or deal see it in their call pickers. The Uploaded transcripts list shows Attio admins every upload, and everyone else the uploads they added or were listed on.

The unmatched calls inbox

Calls Foyai couldn't confidently place land in Unmatched calls at the bottom of the Transcript sources page. For each one you can:

  • Attach it to a room: pick the room it belongs to. Suggested matches show their best guess first, one click to confirm.
  • Ignore it: for calls that don't belong in any room.

A call usually ends up unmatched because its participants used personal email addresses, or because the company isn't in your CRM yet.

Automatic room creation

If you'd like Foyai to go one step further and create a room automatically when a call matches a company that doesn't have one yet, that's configured separately under Settings → Room automation, where you can also set limits on how many rooms get created each month.

Disconnecting

On any connected card, choose Disconnect. New calls stop importing immediately. Calls that were already matched stay listed for context, but Foyai can no longer fetch their transcripts. Admins can also disconnect a teammate's personal connection if someone leaves the team.

Troubleshooting

A call isn't showing up. Recording tools take a little while to process a call after it ends; the transcript has to exist before Foyai can see it. If it still hasn't appeared after the next catch-up sync, check the connection card for an error status.

A call matched, but I recorded it with two tools. Foyai detects when the same meeting arrives from two sources and flags the duplicate, so your drafts don't quote the same call twice.

The connection card shows an error. The most common cause is an API key that was revoked or expired in the recording tool. Reconnect with a fresh key. Your previously imported calls are preserved.

Calls are greyed out in the call picker. Greyed-out calls belong to a connection that's been disconnected or lost access. Reconnect the source to make them usable again.

I connected, but the page says transcript sources are disabled. Transcript sources are in beta and enabled per workspace. Contact support to have them turned on. Uploading transcripts still works in the meantime.

My upload shows everything under one speaker. Foyai only finds speakers in Name: text lines or VTT voice tags. Check that each turn starts with the speaker's name and a colon, then delete the upload and upload it again.
